Playbook #01: An AI Lead Follow Up Loop
Playbook #01 — a worked example of the loop in AI Workflow Automation, applied to a problem almost every SME owner recognises.
A homeowner requests a quote from three renovation firms. Two follow up. One doesn’t. Guess which one gets the job — even if it wasn’t the best quote.
The problem: not a lead problem, a time problem
Most business owners running lean teams aren’t short on leads — they’re short on time to chase them properly. Industry research on online lead response backs this up: one widely cited study found only around a third of companies respond to a new online lead within the first hour. Not because they don’t care. Because the owner is on a job site, in a client meeting, or simply buried, and a “quick follow-up later” quietly becomes tomorrow, then next week, then never.
The loop, applied
Find
A new quote request comes in through the website — a homeowner wants a kitchen renovated.
Do
The agent sends an immediate acknowledgment — within minutes, not days — confirming the request was received and setting a realistic expectation for the full quote.
Check
Has the homeowner replied? Booked a site visit? Gone quiet? The agent checks in a few days later if there’s been no response.
Remember
Whatever happens gets logged — won, lost, still deciding, and why, if the homeowner said so. Nothing depends on the owner remembering to write it down.
Go again
If the homeowner is still deciding after a set period, a polite, non-pushy check-in goes out automatically — not a hard sell, just staying visible.
