QuickBooks or Xero Alternative? AI Bookkeeping Is Coming

Started with Xero or QuickBooks? Graduate to AI bookkeeping with XAP Books when you’re ready.

Status note. XAP Books is under development, and we are aiming to release it in 2027. XAP CFO, mentioned below, is also still in development. This article describes the direction we are building toward, and why we think it is the right call for small businesses. It is not a product you can buy today.

For years, accounting software has done one job well: it records what already happened. If you run a small or medium-sized business (an SME, or SMB as it is often called in North America), you know the routine. Bank feeds arrive, transactions get coded, the books get reconciled (eventually), and a report tells you what last quarter looked like.

The next job is deciding what to do about it. That job is moving to AI agents, and we think AI accounting software for small business will end up doing the bookkeeping, not just reading the books. That is the claim in the title. This article sets out how we think it plays out, and why we think it will happen without anyone being forced to switch.

Accounting software tells you what happened. It doesn’t tell you what to do.

Xero and QuickBooks Online (QBO) built enormous businesses on a simple idea: put your books in the cloud and automate the data entry. They deserve credit for that. Millions of small businesses run on them.

But look at what a small business owner actually needs on a Tuesday morning. Not a ledger. They need to know whether they can make payroll in six weeks, which customers are slipping, and what to do about it. An accounting ledger can’t answer those questions. It holds the facts. Somebody, or something, still has to read them, reason about them and turn them into a decision.

That is exactly the work agents are good at, and we think the incumbents know it. Xero has added its own AI assistant, Just Ask Xero (JAX). Others are adding agents to the software they already sell. The question is no longer whether AI arrives in accounting. It is who ends up in the middle of the relationship: the ledger, or the intelligence reading it.

Why adding AI to your accounting software is not enough

We think adding an assistant to a ledger gives you faster answers, but not better ones, for two reasons.

First, advice is only as good as the data behind it, and most small business books were never built to run a business. They were built to meet tax and compliance obligations. Day to day, bookkeeping is mostly data entry: invoices keyed in, payroll processed, bank transactions matched as quickly as possible. The judgment calls, such as whether something is an expense or an asset, tend to wait for the accountant, who often steps in weeks or months later, mainly to get the GST or VAT return filed. The books are only polished once a year, after year end. In between, you are making decisions on numbers that are good enough to file, but not good enough to make business decisions.

The messiest part is often the owner’s credit card and cash ‘out-of-pocket’ expenses. Business expenses end up there mixed in with everything else, the statements pile up, and nobody reconciles them because it is slow, manual work. Ask the owner weeks or months later what a payment to ABC was for, and they usually can’t remember. So the cost gets guessed at, coded wrongly or left out, and the books miss expenses that were real.

We are building XAP Books, AI powered bookkeeping software, to fix this at the source. It is designed to work from your original records, code every transaction consistently, and ask you about anything unclear while you still remember. It is also designed to learn how your business works. The aim is books that are more complete, more current and more consistent than most small businesses have today.

Second, advice is only as good as the thinking behind it. Many AI assistants simply give you the most likely answer from the internet. XAP is designed by experienced accountants and advisors, who build their professional judgment into how it works. It is also designed to include checks and balances, a kind of review modelled on what a senior partner does in an accounting firm. Answers resting on thin or conflicting evidence are designed to be flagged rather than presented as certain.

So the contest is not who has the cleverest chat box. It is who gets the data right, and whose advice you can trust. Palantir CEO Alex Karp makes a similar argument about the application layer: a capable model on its own is not where the lasting value sits. The value comes from a system that understands your business’s own data and rules.

Looking for a QuickBooks or Xero alternative?

If you are, you are probably wondering whether you have to start over. You don’t. XAP Books is being built as AI accounting software for small business, and it is designed so you can keep the software you have today and move only when you are ready.

We don’t think small businesses will rip out their accounting software because we asked them to. We wouldn’t either. Here is the path we are building toward, and what we think happens at each stage.

Stage 1: AI bookkeeping on top of your existing software

XAP Books is designed to start by working on top of the software you already use, Xero or QuickBooks Online first, with a guided set-up. Nothing has to be migrated, and nothing about your current workflow breaks. The aim is simply cleaner, more current books, and an advisor that can finally rely on the numbers.

Stage 2: make the numbers useful

Once your books are flowing, XAP CFO is designed to become the natural next step: forecasts, cash-flow warnings and board-ready reporting, available between the check-ins you already have with your accountant. XAP is designed to work alongside your advisor, and the point is to give both of you better material to work with.

Stage 3: become the ledger

We think that, if trust has been earned, XAP Books can later become your full ledger, and your old accounting subscription becomes one you no longer need. That is the part that replaces Xero and QBO. It is the furthest away, it is not built, and we won’t put a date on it. Direct bank connections also differ country by country, and we will say what works where when it does.

Prefer to start with XAP Books as your ledger? It is designed to support that too. You choose if and when.

The key point is the order. XAP never needs you to take a risk first. Trust builds over months, and the decision to move is yours.

Interested in XAP Books? XAP Books is in development, and we’re aiming at 2027. It is designed to work on top of Xero, QuickBooks Online (QBO) and MYOB, and to be your ledger too (if you want that). You choose if and when to move. Join the XAP Books Waitlist and we will keep you updated.

This is about software, not people

Replacing software is not the same as replacing the professionals who use it. Good accountants and bookkeepers do work that goes beyond data entry, and cleaner books make that work better. We think the likeliest outcome is that the tools change underneath them, as they have before, and that the best advisors will be the first to use the new ones.

What about my data?

Moving your books to any new platform means trusting it with them. We take that seriously, so we will publish a full account of how XAP Books stores and protects your records before it launches, and we won’t ask you to move anything before then. XAP does not use your Xero data to train AI models. What we say today about how AI requests are handled, which you can read in our Trust & Privacy articles, is a separate matter from how a ledger is stored.

Start early

You don’t have to wait for any of this to begin. We think working practices are changing faster than most owners expect, and it is never too early to start using the new agentic tools alongside the software you already have.
