What we collect, why, and what happens to it.

XAP Financial Technologies Pte. Limited (“XAP.ai”, “we”, “us”) operates AI-powered advisory agents for SME businesses. This policy explains what personal and business data we collect, how we use it, and your rights over it.

What We Collect

  • Account information: name, email, business name, and basic contact details when you sign up for XAP Advisor or a paid tier
  • Conversation data: the questions you ask and context you share with XAP.bot or XAP Advisor
  • Business data: financial records, strategic documents, or transactional data you choose to connect (e.g. via XAP Books, once live)
  • Contact form submissions: if you submit our contact form, we use your name and email solely to respond to your enquiry
  • Usage data: basic technical information (device type, general location, usage patterns) to keep the platform running reliably

How We Use It

  • To provide the actual advisory service — answering your questions with real context about your business
  • To improve XAP Lumen, our proprietary intelligence layer — via an anonymisation process that strips identifying details before any pattern is retained (see our Data Sovereignty Policy for the full technical breakdown)
  • To maintain platform security and prevent abuse
  • To communicate with you about your account or the service
What we don’t do: sell your data to third parties, or use your specific business data to train models shared with other clients.

How Long We Keep It

Active account data is retained for as long as your account is active. If you close your account, your raw data is deleted from our systems within 30 days, and you can export it in full beforehand. Free-tier conversation data follows a shorter retention cycle, detailed in our “Is my data safe?” article.

Your Rights

  • Access: request a copy of the data we hold about you
  • Correction: ask us to correct inaccurate information
  • Deletion: request deletion of your account and associated data
  • Portability: export your raw data in a standard format at any time

Compliance

We operate with regard to Singapore’s Personal Data Protection Act (PDPA), Australia’s Privacy Act, New Zealand’s Privacy Act 2020, and equivalent regulations in the markets we serve.
